USD Office of Undergraduate Admission is looking for a Graduate Assistant

Summary of Duties:

As a member of the Undergraduate Admission team, the graduate assistant provides a vital link in USD’s admission process. Under the direction of the Associate Director of Operations, the primary duties of the graduate assistant are: conducting information sessions both for school groups and as part of the daily prospective student visit experience, meeting with prospective students and families, and answering callers’ questions about the application and enrollment process. Graduate assistant will also assist in the processing of inquiries and applications. This role requires an excellent understanding of database and processing systems, strong attention to organization and detail, especially as the latter pertains to utilizing imaging equipment and systems, and experience with

student systems and word processing software and computers. In addition, the graduate assistant will at times be asked to assist with provide operational guidance to undergraduate student assistants and represent USD at on-campus events and college fairs. The graduate assistant must also possess the ability to work with other staff members as a part of a team yet must also be able to work independently. Strong verbal and written communication skills, and an ability to perform concentrated efforts of data entry during peak admission periods are also required.

Daily Responsibilities Encompass Four Main Areas: (1) representing the University to high school counselors, parents, prospective students, alumni, and other external constituents by meeting and offering presentations to campus visitors, conducting tours of the campus, and attending local college night/fair programs; (2) providing front desk coverage (phone duty) when needed; (3) processing of applications for freshman and transfer applicants which includes credentialing new applications, updating evaluated applications, opening, sorting, date stamping, and distributing incoming mail, and other assorted tasks related to the processing of applications; (4) technical support such as producing simple admission reports, testing the admission portal, etc.

Required Qualifications:

  1. Excellent public speaking and interpersonal communication skills
  2. Must be reliable and able to keep regularly scheduled working hours
  3. Strong work ethic
  4. Excellent organizational skills, attention to detail and the ability to use discretion when

    working with confidential materials

  5. Experience with data entry is required; familiarity with Google suite, Banner and

    Salesforce preferred

  6. Ability to flex between collaborating with members of the Admissions team and working

    independently

Salary, Hours, Availability:

Graduate Assistants in UGA are paid $13.50/hour and work 20 hours/week during regular office hours of 8:30 a.m.-5:00 p.m. Preference may be given to candidates who can occasionally work Saturdays and evenings for events such as Torero Visit Day, Torero Showcase, congratulatory phoning nights, Saturday info sessions,etc. Strong preference is given to well qualified candidates whose schedules best match the needs of the office.

Special Conditions of Employment:

Occasional overtime is requested during peak application processing and event periods. Substantial work on the PC using a keyboard and mouse. High degree of confidentiality with respect to student files, credentials, emails, student and University correspondence, phone calls, memos, and all information pertaining to applicants, students, alumni and other constituents.
