This role, based in their Encinitas office, involves a mix of administrative, marketing, and outreach responsibilities and is vital to creating a warm and welcoming experience for their clients. The Practice Assistant supports the growth and operations of their practice, as they work to strengthen relationships and families in the San Diego area and beyond. At Integrative Couples Therapy, we cultivate a work culture that values connection, personal growth, autonomy, and meaningful relationships. As a key member of our team, the Practice Assistant will receive comprehensive training and work closely with the Practice Owner, who is also a Licensed Marriage and Family Therapist, and our Business and Operations Manager.<br \/>\n<\/span><\/p>\n<p dir=\"ltr\"><span style=\"font-family: arial, sans-serif\"><strong>Responsibilities:<\/strong><br \/>\n<\/span><\/p>\n<ul>\n<li dir=\"ltr\" role=\"presentation\"><span style=\"font-family: arial, sans-serif\">Be helpful, engaging, and supportive for prospective clients, current clients, community members, ICT therapists, ICT practice owner and ICT Operations and Business Manager.<\/span><\/li>\n<li dir=\"ltr\" role=\"presentation\"><span style=\"font-family: arial, sans-serif\">Answer phone calls with warmth, compassion, and confidence to everyone who contacts us.<\/span><\/li>\n<li><span style=\"font-family: arial, sans-serif\">Be able to clearly explain our services and the benefits of couples therapy.<\/span><\/li>\n<li><span style=\"font-family: arial, sans-serif\">Connect callers with resources and other local providers when indicated.<\/span><\/li>\n<li><span style=\"font-family: arial, sans-serif\">Be professional, friendly, and use proper etiquette in written and verbal communication.<\/span><\/li>\n<li><span style=\"font-family: arial, sans-serif\">Promptly respond\/reply to all voicemails, texts, emails, and website form submissions throughout your shift.<\/span><\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Track prospective and incoming clients on a spreadsheet and\/or CRM.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Add new clients and manage existing clients in electronic health record software.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Manage and maintain confidential client information, HIPAA, and adhere to all legal and ethical procedures regarding client care. Training is provided.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Stay in touch with new clients and provide reminders to complete intake documents.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Be responsible for daily billing.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Conduct daily social media posts on Instagram, Facebook, TikTok, LinkedIn, and Google My Business.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Run weekly reports and email reports to practice owner and business manager reports every Friday.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Assist with set up and registrations at live and virtual workshops, retreats, and presentations.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Remain client-centered, emotionally balanced, and responsive during difficult conversations.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Engage in the highest level of customer service with clients and community members.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span style=\"font-family: arial, sans-serif\">Be tech savvy and confident in researching new tools and systems that can assist us with efficiency and growth.<\/span><\/div>\n<\/li>\n<li dir=\"ltr\">\n<div><span role=\"presentation\"><span style=\"font-family: arial, sans-serif\">Administrative experience in a marriage and family therapy or mental health practice.<\/span><\/li>\n<\/ul>\n<p dir=\"ltr\"><span style=\"font-family: arial, sans-serif\"><strong>Other Details Regarding This Position<\/strong>:<\/span><\/p>\n<ul>\n<li dir=\"ltr\" role=\"presentation\"><span style=\"font-family: arial, sans-serif\">Pay is<strong> $20 to $25 per hour<\/strong> depending on experience<\/span><\/li>\n<li><span style=\"font-family: arial, sans-serif\">Employee will be W2 status.<\/span><\/li>\n<li><span style=\"font-family: arial, sans-serif\"><strong>20 hours per week<\/strong>. Schedule <\/span>can be flexible for current students.
